Arts and Crafts Fair Exhibitor Information

Saturday, March 24th 2012   9am – 5pm

Sunday, March 25th 2012   10am – 3pm

Hill Country Resort and Event Center is starting its 1st Annual Arts and Crafts Fair in hopes that in 20 years we can call it the 20th Annual Arts and Crafts Fair.  Hill Country Resort and Event Center is an RV Park located in the Heart of The Beautiful Hill Country of Texas and the town of Medina.  Medina is long been known for the delicious apples grown down here.  Medina, TX is small town but every weekend is filled with travelers stopping in to see what makes this little town so special. 

         

The Arts and Crafts Fair will be held in our giant outdoor covered pavilion.  With over 14,500 sq.ft under the pavilion, split up into 101 different spaces there is sure to be plenty of room for all of our vendors.  There is 3 restrooms right there under the pavilion so it's not a far walk away.  We will be having door prizes for the guests, and hopefully some entertainment on both days.





Application Information:

·        Vendor spaces are still available as of 3/14/12.  Please give us a call and we will set you up in a space.  We will be taking vendors up to the day of the event.  Cash will be accepted Saturday morning for your vendor location.

·        Exhibitors must submit a completed application and at least 2 photos: 1 of artwork (representing everything that will be sold), and 1 of booth display.  Photos become property of Hill Country Resort and Event Center and should be sent electronically to jeremy.stroud@rvtexasresort.com.

·        Incomplete  applications may be denied.

Fees :

            1.  Booth Fee - $40.00 for 10'x10' no electric, $50.00 for 10'x14' no electric (retail only) $60.00 for 10'x10' with electric
            2.  Table Fee ( If needed we will rent a limited amount of tables with bench seating).

Notification

·        Selection will take place and responses mailed out as we get applications in.

·        If accepted, your letter of acceptance, booth information, and set up times will be sent to you.

·        If rejected, your booth Space Rental Fee will be returned.

Exhibitor Cancellation

·        Other than a medical emergency with documentation there is no refund for vendor cancellation.

Lodging

·        Hill Country Resort and Event Center has 50+ full hookup RV Sites along with 20 different Cabins and Shelters.  You can call 830-589-7475 for information and prices.

·        You can contact the Bandera Visitors Center for more information on lodging at 1-800-364-3833.

Rules and Regulations

            1.  To protect all vendors, Hill Country Resort reserves the right to remove, from the premises, any exhibitors or items not in compliance with the guidelines.  The Exhibitor forfeits any refund.

            2.  All items being sold must be consistent with pictures provided with application.

            3.  Exhibitors agree to be open during ALL hours of the Arts and Crafts Fair.

            4.  This is a rain or shine show.  No provisions, refunds or alternate dates are made in case of cancellations due to acts of God or government agency requirements.

            5.  No smoking or loud sound systems are allowed in booth areas.  No water is provided at booth site.

            6.  Exhibitors are responsible for collecting and paying Texas State Sales Tax.

            7.  Booth space are approximately 10’x10’.  Exhibitors are responsible for providing their display including tables, chairs, tents, etc.   We do have a few tables for rent if need be.  Again, just a few.

            8.  Exhibitors agree to allow Hill Country Resort to use photos in Hill Country Resorts promotions.

            9.  All work and displays must stay within designated space.  No boxes, extra merchandise or debris should be visible.  Spot area must be kept clean throughout the event and be left spotless afterwards.

            10. No soliciting, approaching patrons, or distribution of advertising material outside of booth area.  All booths are assigned on 1st come 1st serve basis.
            
            
11.  If saleing retail items, only items Made in America will be accepted.

Food Vendors

Spaces are limited per food category and will be assigned first come, first serve, in order of completed applications received

TYPE A Food Booth- (Electricity Required) Type A food booth is defined as hamburgers, hotdogs, bar-b-q plates, sausage (in any form other than dried,) turkey legs, rabbit, fajitas, Frito pies, shrimp, Kettle Corn, Funnel Cakes, ice cream, etc…A TYPE A food booth must agree to sell only the item for which the exclusive is given. Example: a bar-b-q plate booth that receives an exclusive on a plate lunch that includes beef, beans, potato salad, bread, pickles and onions, may not sell sausage, pie, cakes, chicken or anything other than those items listed. Size for an open space is 10’ x 10’. You must provide your own table.

A LIMITED NUMBER OF TYPE A FOOD BOOTHS WILL BE AVAILABE.

TYPE B Food Booth - (No Electricity)  Type B food booth is defined as any dessert type foods such as pies, cakes, cookies,  candy etc…TYPE B booths will not receive an exclusive on food items but a limited number of the same type of food will be maintained.  There is not a limit on how many of these food booths are available.

Artisans, Crafters and Vendors Application

When your application has been accepted we will call you and get a check or credit card number from you at that time.   When you send this application in please also send in your 2 pictures to jeremy.stroud@rvtexasresort.com.  Also mail us a self-addressed stamped envelope so we can mail you your reciept, booth info, and any other information you may need.
